International House is a 501 (c) 3 non-profit, self-supporting residential and community-oriented program center located in the southeast foothills of the Berkeley Campus. Since its founding in 1930 with a gift from John D. Rockefeller, Jr., it has housed more than 90,000 residents including two Governors of California and eight Nobel Prize laureates. The Assistant Director of Admissions is responsible for administering, managing and supervising certain prescribed functions of the Admissions Office as well as the planning, oversight and execution of the Front Desk operations at International House, including structure, policies and protocol. The incumbent is also responsible for the administration of the key card distribution for residents and work in collaboration with the Resident Support Services Manager, who oversees the Resident Assistant’s (RA) to ensure effective and smooth operations of the House. In addition, the Assistant Director plays a key role in overseeing the operations of the Resident Service Center (resident store) and laundry room.
The incumbent supervises one (1) career staff (Front Desk Operations Coordinator) and approximately 4-8 part time student staff (Front Desk Assistants (FDA)) who are responsible for greeting residents and guests. During the summer, I-House operates as both a housing facility and conference center with many attendees residing at I-House. Residents include, graduate and undergraduate students, visiting scholars and researchers from various learning institutions affiliated with the University. The Assistant Director works closely with the Director of Admissions and the Manager of Resident Support Services on housing issues, including managing enrollment and space for incoming new students and other groups of visiting students and program/conference participants.
The Assistant Director is accountable for developing communication strategies that balance the organization’s commitment to excellence and exceptional customer service which include developing and implementing Front Desk policies, procedures and protocol for residents, staff and guests of I-House. General management includes consulting with the Director to fulfill long and short range strategic and departmental goals.
Key Responsibilities: •Creation and implementation of Front Desk policies and protocols. •Responsible for the creation, development production and updates of the Front Desk Operations Services Manual. •Responsible for the augmentation, management and streamlining of the check-in/out procedures and materials for incoming and outgoing residents, including check-in packets, keys, registration codes, etc. •Responsible for creation, management and implementation of the processes related to front desk staff, residential key processes, including but not limited to database management, key replacement processes, lock changes as needed with Physical Operations and clearance removals with UCPD. •Assumes primary leadership, establish guidelines, support, evaluates and mentors the Front Desk Operations Coordinator and FDAs. •Responsible for day-to-day administration of the Resident Service Center (RSC), including the I-House laundry room, including supervision of relevant career and student staff, troubleshooting and addressing problems, etc. •Develops communication strategies that balance the organization’s commitment to excellence and exceptional customer service. •Assists with the development and implementation of policies, procedures and execution of Admissions operations, crisis and emergency protocols in accordance with University and professional association guidelines. •Creates and coordinates implementation of administrative and/or operational activities for all Front Desk operations and ensures achievement of operational objectives (operational, budget processes and space planning). •Responsible for the management and implementation of the administration, evaluation and awarding of the department's grants and restricted funds for domestic students. •Advises students on financial aid options on campus, works with appropriate departments to ensure International House funds are distributed according to established guidelines.•Minimum of five years professional residential life experience in a college/university setting. •Bachelor’s degree in related field: i.e., Student Affairs/Residential Life, Education, Social Justice and/or equivalent experience and training.
