Reporting to the HR Business Partner & Compliance Program Manager, the HR Coordinator will be responsible for providing direct support to HR Business Partner and Employee Relations team. This individual will assist the team in the overall development and delivery of human resources programs and services designed to meet the needs of the Institute. The ideal candidate for this role will be ready to embrace the opportunity to further learn and develop a career in HR. This person will have strong working knowledge of HR functions and procedures and have proven experience owning and executing daily tasks in support of department initiatives.
Provide administrative and project support to the Director of HR Partnerships & Employee Relations and the team (i.e. calendar management, schedule meetings, prepare and manage agendas for team meetings, etc.)
Coordinate logistics for compliance efforts such as Department of Labor poster regulations, The Joint Commission (TJC), Office of Federal Contract and Compliance Programs (OFCCP), and the HR Policy Review Committee.
Oversee the processes and vendor relationships associated with emergency loan process, employment verifications, and division of unemployment claims.
Assist with special projects including but not limited to documenting internal processes and managing exit interview data review and analysis.
Provide ongoing support and coordination to the team to ensure timely completion of projects and deliverables.
Prepare termination and severance packets and coordinate termination logistics as needed.
In collaboration with the Benefits and Well-being team, coordinate distribution of service awards to staff across the Institute.
Update, manage, and re-design the teamâ€™s DFCI Online Intranet site as needed.
Respond to internal and external HR related inquiries or requests and provide assistance as needed.
Draft correspondence using the appropriate templates including but not limited to employment related letters.
Track appropriate data and metrics for team deliverables.
Act as team lead for projects (based on fluctuating business needs) in collaboration with others across the Institute to complete assignments in a timely and effective manner.
Perform other duties as assigned.
Bachelorâ€™s degree in human resources or related field required; an equivalent combination of education and experience will be considered in lieu of degree.
Minimum of 3 years of professional human resources and/or professional administrative experience required.
Experience with calendar management highly desired.
Experience working with employee relations and/or compliance preferred.
Experience managing small projects and familiarity with data analysis preferred.
Experience in healthcare preferred.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Demonstrated critical thinking and problem-solving skills is key.
Excellent organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, attention to detail and multi-tasking.
Knowledge ofÂ federal, state and local employment laws in employee related practices including FLSA, FMLA, HIPAA, EEO, ADA, and other related compliance areas.
In-depth knowledge of human resources operations and best practices.
Ability to self-motivate, be proactive, and take initiative, while working both independently and as part of a team.
Handle multiple competing priorities while meeting deadlines.
Strong written and verbal communication skills with the ability to clearly and effectively communicate by practicing active listening skills and sharing relevant information; ability to compose and prepare correspondence, assist in designing and producing technical informational handouts; technical charts, tables, templates and forms; demonstrated proofreading and editing skills.Â
Excellent interpersonal skills with the ability to effectively collaborate and interact with others across the organization.
Proficiency with Microsoft Office required.
Experience with PeopleSoft and ImageSilo a plus.
