Dept Marketing Statement Originally founded in 1997, the Baskin School of Engineering is the first professional school at UC Santa Cruz. Reporting directly to and working closely with the Director of Department Operations, assist in the administrative management of the Applied Mathematics Department and provide support to other academic department operations as needed. Specifically, the incumbent will participate in long/short term curriculum planning; budget ledger review and reconciliation; procurement services; academic recruitment and personnel actions; other general support. Provides administrative analysis on matters having operational and financial impact on the departments, using knowledge of university administrative organization, policies, procedures, and practices. Advises, orients, and trains new academic hires on university administrative organization and policies. Assist with seasonal faculty recruitment.
Pay, Benefits, & Work Schedule Salary Information: Salary Range: $66,300 - $72,000/annually. Salary commensurate with qualifications and experience.

Job Duties 70% - Assist with the Operational Management for the Department of Applied Mathematics
Under the direct supervision of the Director of Department Operations, serve as the primary point of contact and resource for the Applied Mathematics Department on administration and operational policies and procedures.
Working with the Director of Department Operations, participate in long/short term budget planning and implementation including: financial review and ledger reconciliation; contract and grant administration; procurement services; academic merits and promotions; academic recruitment; facilities management; environmental health and safety issues. Provide administrative analysis on matters having a financial impact on the department using knowledge of university administrative organization, policies, procedures, and practices.
Maintain Tier 1 level budgetary authority on selected non-entertainment instructional and operational financial matters, such as for direct pay reimbursements, printing charges, and bookstore recharges.
Prepare, assemble, and submit for approval, permanent academic appointment dossiers for approved new faculty hires, the appointment and reappointment dossiers for Pre-Six Unit 18 lecturers. Prepare, assemble, and submit for approval, the appointment and reappointment dossiers for Postdoctoral Scholars and visiting researchers.
Initiate and facilitate the process for visa applications (J-1, H-1B, B1, TN and O-1 visas), labor certification, and permanent residency applications, for temporary and permanent appointments of foreign scholars; assist in resolving problematic visa and immigration issues.
Review departmental TA and GSI appointments in conjunction with curriculum and leave planning. Budget for and review quarterly reader/tutor allocations.
30% - General Engineering Department Operations Support
Provide direct administrative and analytical support to other Baskin Engineering departments.
Serve as coordinator for special projects as needed; draft and edit reports and confidential correspondence for signature.
Maintain files and ensure confidentiality of correspondence, records, and sensitive department/personnel issues.
Assist the Director of Department Operations and other department managers with seasonal faculty recruitments, including managing logistical and event coordination activities.
Thorough knowledge and related administrative experience working with faculty in a university setting, including familiarity with academic departmental administration and academic support services.
Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
Excellent problem solving and decision-making skills.
Excellent interpersonal skills and a record of effective interactions with a diverse community, including faculty, researchers, lecturers, administrative support personnel, undergraduate and/or graduate students.
Demonstrated planning and event coordination skills.
Experience in a computerized office environment, using tools such as word processing, website maintenance, spreadsheets, and databases.
Through knowledge of budget and financial analysis, including reporting techniques, experience with purchasing and tracking budgets, as well as interpreting accounting principles and practices. Math skills sufficient to calculate compensation payments.
Demonstrated organizational skills and the ability to effectively prioritize a heavy volume of workload with pressure of deadlines and frequent interruptions, including ability to discern priorities.
Ability to work with highly confidential and sensitive materials using discretion and good judgment.
Strong analytical skills.
Excellent customer service skills.
Ability to work effectively as a member of a team.
