Reporting to the Director of Housing and Leasing Services HUH, the Assistant Director, Housing and Leasing Services has primary day-to-day responsibility for the successful operation, leasing, marketing, customer service delivery, and financial performance of a diverse real estate portfolio consisting of over 2,900 apartments, 120 dorm rooms, 4 child care centers, and ~30Ksf of retail and office space located in Cambridge, Somerville and Boston. With a team of five direct reports, the Assistant Director, Leasing and Housing Services works closely to ensure the consistent application of policies & procedures, the proper and effective stewardship of University assets, and the delivery of superior customer experience at all levels.
The Assistant Director is charged with ensuring HUH policies and procedures are consistent in their conception and enforced and applied in a fair and equitable way with the intent of maximizing revenue, minimizing vacancy loss, maximizing employee engagement in alignment with industry standards and organizational goals relating to customer satisfaction, net operating income, renewal, resident engagement and sustainability.
The Assistant Director, Housing and Leasing Services:
Leads, mentors, supervises, coaches, guides the team and organizes training in areas of job performance, career development and cross training of skills in order to expand and develop the staff's responsibilities and capabilities, as well as developing policies and practices that emphasize hiring and retaining the strongest industry talent in support of goals around inclusive excellence.
Works closely with the property operations and graduate commons groups to ensure consistency of policy application and a high-quality service experience to current and prospective tenants, and to minimize vacancy and turnover costs.
Coordinate disability housing placements and medical accommodation requests for 150 (or more, depending upon year) HU student, staff, and faculty affiliates annually; work with HUH property operations staff, University Disability Resources, and Harvard graduate school local disability coordinators to determine appropriate follow-up; update information in Harvard's Facilities Incident Notification System (FINS) on all residents that may require assistance in an emergency and to indicate the locations of residents' service and assistance animals.
Collaborates and communicates with various Harvard Schools and departments (i.e. various Schools' Academic Deans, Ombudsman, UDS, UHS, Title IX, OGC, HUPD) to support the Harvard affiliate's housing experience.
Works closely with the Director of Housing and Leasing Services to provide support for establishing HUH rental rates, managing and reporting regularly on total revenue budgets /forecasts for a significant urban market-rate portfolio.
Support the definition, creation, and implementation for defining, creating, and implementing the marketing plan for the HUH portfolio to eligible Harvard graduate students, faculty and staff affiliates of all Harvard schools, and initiating and managing new housing programs.
Support the HUH housing and leasing process including the applications, termination/extensions, annual housing lottery, transfers, lease assumptions, housing related reasonable accommodations, sublets, tenant disputes, arrearages, tenant violations, and Off Campus Housing options. Coordination with Operations on ready dates, ongoing capital/renewal work and its impact to HUH residents in compliance with all Fair Hosing regulations and all applicable federal, state, and local laws and regulations. Ability to identify process and system efficiencies and recommend and implement business change in support of the HUH goals and mission.

BA/BS in real estate, business, or related field required, 5+ years' direct, progressive leasing/ property management experience with a large, urban, multi-family rental portfolio preferred. Massachusetts Real Estate Broker's or Salesperson's license, working knowledge of Massachusetts Landlord Tenant law and leasing practices preferred.
Demonstrated leasing/marketing management capabilities, strong communication, leadership, sound judgement, and team-building skills are essential. Must be able to effectively motivate and supervise all levels of leasing employees. Must be creative, flexible, highly-organized, and able to both communicate clearly and effectively and implement process and system improvements to HUH's leasing staff. Ability to work with graduate students, faculty and staff of all levels and of diverse backgrounds. Strong mediation and/or conflict resolution skills are necessary.
The ideal candidate will be highly energetic, possess excellent verbal and written communication skills, the ability to think critically/analytically, strong problem-solving and negotiating skills, strong interpersonal skills, and a demonstrated ability to work effectively and independently in a fast-paced, customer-service oriented environment. Must be detail oriented and aggressive in managing and, following-up on issues and implementing initiatives. Must have demonstrated ability to manage multiple responsibilities, set priorities, take initiative, decision making skills, meet deadlines, and provide excellent customer service to a diverse tenant base with high expectations for quality service, while managing within budgetary constraints, policies and procedures, and supporting the on-going renewal of the properties. Must be an effective user of MS Office systems. Experience with Yardi property management software and managing a unionized workforce very desirable.
