Reporting to Department Administrator, this position will provide administrative support for two to four Harvard Stem Cell and Regenerative Biology (HSCRB) Department faculty members.
Faculty assistant will implement and manage office procedures; set up and maintain paper and electronic filing systems, manage telephone and email communication, compose and edit correspondence and documents using multiple software applications, manage Outlook calendars, order office and lab supplies, and schedule meetings and events. In support of the faculty members, maintain and update faculty documents (bibliographies, reference letters, CVs, presentations, web pages), contribute to course/presentation materials, and assist with grant proposals. May be responsible for faculty budgeted administrative expenses (mail, copier, telecom, office supplies.) Make travel arrangements for faculty members and their guests and process reimbursements. In support of faculty members' labs, facilitate completion of hiring documents, onboard and serve as information resource for incoming lab members, and maintain personnel rosters and equipment inventories. Coordinate lab administrative operations meetings. Responsibilities may also include general support for HSCRB administration, as well as temporary coverage for other faculty assistants in order to assist faculty in the areas of scheduling, meeting/event coordination, reimbursement, appointment processing or travel arrangements.

Three plus years related experience.
Business training or college degree preferred, or an equivalent of education plus experience in an office environment. Solid working knowledge of office processes and systems, and of related computer software and electronic communications tools. Proven organization and interpersonal skills with experience providing complex administrative support to one or more. Ability to work across teams and with a variety of projects and constituencies.
