Pay, Benefits, & Work Schedule Salary Information: $23.92 - $28.06 / Hourly. Salary commensurate with skills, qualifications and experience.
This position reports to the Arts Divisional Finance Director and to the Arts Research Institute Executive Director.
The Business Office Representative is responsible for a wide variety of functions to support the Arts Division. The Business Office Representative is responsible for performance of organizational and administrative tasks. This position works to assist the Divisional Finance Director with the Divisional Business Office workload. This position serves as the primary support to the Arts Division Finance Director for tasks and projects within the Arts Division Business Office.
The Arts Research Institute administrative position will assist (50%) with the pre- and post-award administration of all external contracts and grants within the Arts Division; internal awards made to UCSC faculty through Arts Research Institute funding mechanisms; and the general administrative support functions of the ARI office.
50% - Divisional Administrative Assistance
Enters XTOE, XTOF, Transfers for the Arts Division.
Updates Divisional user lists and employee activities.
Reviews divisional reimbursement requests such as lower level ERFs, Direct Pays, and Travel reimbursements for accuracy and completeness.
Serves as sub-cashiering support for the Arts Division.
25% - Arts Research Institute Administrative Assistance
Performs administrative support functions of the ARI office.
Updates the Arts Research Institute (ARI) budget and assist in tracking program costs and expenditures in accordance with University and funder policies and procedures.
Schedules and coordinate meetings, activities and events as needed.
Assists with website content, newsletter, and social media.
25% - Post-Award and Extramural Grant Support
Performs post-award activities associated with Arts Division research awards.
Prepares and ensures the accuracy and compliance of travel forms, entertainment reimbursement forms, direct payment reimbursements, campus recharge forms, purchases using ProCard, CruzBuy, and purchase order requisitions associated with Arts Division research awards.
Assists faculty in completing fiscal reporting requirements associated with extramural grants.
Experience working in an office setting with common office software applications (spreadsheets, email, word processing, etc.) .
Ability to work effectively as a member of a team and establish and maintain cooperative working relationships with diverse groups of faculty, staff and students.
Ability to exercise good judgment and discretion in handling confidential information.
Ability to learn internal control principles and systems.
Ability to perform detailed work with a high degree of accuracy.
Proficiency in the use of spreadsheet, reporting, database, word processing, financial information software, and ability to learn new information systems.
