ADMINISTRATIVE ASSISTANT 2 , Civil and Environmental Engineering (CEE) , to provide administrative support to four faculty members and a large-scale departmental seminar series (Distinguished Seminar Series). Will assist faculty members and their research groups in all administrative, academic, operations, and some finance matters related to the smooth operations of their research groups. Responsibilities include serving as the main administrative point of contact; complex calendar management for assigned faculty and group members; serving as the main point of contact for class materials preparation and assisting with coordinating all class-related activities; coordinating events for domestic and international audiences, including logistics, advertising, and operations; making domestic and international travel arrangements and preparing expense reports; assisting with purchasing, including getting quotes, following up with vendors, creating POs, and managing invoices; managing the financial review and control process; processing reimbursements for out-of-pocket expenses; handling meeting arrangements, including booking rooms, ordering/picking up food, setting up and closing rooms; picking up and/or distributing purchases/orders, mail, or documents/forms and assisting with returns and time-sensitive mail and orders; performing library and web searches; maintaining high-quality web pages; initiating maintaining databases; maintain filing systems; verifying and reconciling ProCard charges; and other duties as needed.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years' administrative experience; proficiency with Microsoft Office (Word, Excel, PowerPoint, FileMaker, Outlook); ability to identify and learn new programs/software as needed; attention to detail and quality; excellent organizational and communication skills; discretion with confidential information matters; and ability to interact with diverse groups of people, exercise good judgment, demonstrate flexibility, work independently and as part of a team, and handle multiple tasks concurrently.
