The Information Services Department at SUNY Downstate Health Sciences University is seeking an Administrative Assistant. The successful candidate will:
Provides administrative support to the AVP & Deputy CIO for Clinical Applications.
Answering calls and routing accordingly, scheduling meetings, conferences, sorting mail, manage calendar for the AVP & Deputy CIO.
Maintain schedules for EMR HealthBridge Team, as needed
Enter and resolve assigned tickets in the Footprints Service Desk System
Prepare/develop PowerPoint presentations, spreadsheets, reports and utilize digital graphics and desktop publishing software
Create and edit correspondence, presentations, and proposals
Organize projects and prep files as necessary for review and delivery, if required.
Manage and update task objectives and performance while helping to ensure that project commitments are met
Handle confidential / sensitive documents
Organize and maintain electronic and paper files
Maintaining and administering department personnel records, payroll records, and time and attendance records.
Update project timelines and documentation based on changing objectives, specifications, and staffing
Coordinate meetings with clinical project managers to obtain weekly status updates on current projects
Transcribe meeting minutes and maintain tracking for action items, ongoing issues/resolutions; updates project status lists.
Assist with preparation of the Clinical Applications team budget for approval
Serve as backup for other Administrative Assistants when out sick or on vacation.
Coordinate travel arrangements for conferences and/or training.
Prepare meeting agenda/meeting material(s)/ attend meetings for note-taking purposes.
Other duties as assigned by Supervisor.
Exceptional knowledge of using computers.
Knowledge of Microsoft Word, Excel, Visio, and PowerPoint required
Proficient in the use of Microsoft Outlook
The ability to work collaboratively with a broad range of constituencies is essential
Knowledge of Clinical application systems, i.e., HealthBridge
Excellent written and oral communication skills required.
Ability to record accurate minutes during meetings
Ability to manage shifting priorities in a fast-paced environment.
The ability to work collaboratively with a broad range of constituencies is essential.
A demonstrated ability to work with diverse groups of people is required.
Professional telephone manner, ability to juggle a hectic calendar, and high energy is essential.
Ability to take direction and follow through with minimal supervision.
Must maintain a professional appearance.
