The Site Manager is responsible for the day-to-day clinical and administrative activities at the Rockland practice, reporting directly to Senior Manager of Practice Operations and Process Improvement.S/he will be responsible for providing administrative, financial, and supervisory support, as well as ensuring regulatory and compliance requirements are observed as defined by the institution and the OB/GYN Department.Acting consistently with the Departmentâ€™s philosophy, the Site Manager will lead efforts to standardize, improve, and create practice efficiencies at the Rockland site as well as reporting issues related to patient care, health care provider concerns, site operational needs, and facility management.
The Site Manager is responsible for overseeing the daily operations for the Rockland practice site.
Manage the clinical practice schedule and all operations pertaining to clinical activity including management of scheduling practice hours and room allocations. Oversee practice flow and patient throughput to maximize efficiency. Responsible for communicating changes in charges/space rental agreements to all necessary parties and ensure those changes are processed accurately.
Oversee that the clinical and administrative equipment is adequately maintained, ensure that exam rooms are cleaned and maintained and management medical supplies needed.All purchases and expenditures, and appropriately allocate to the correct accounts.
Assist with developing strategies to improve efficiency in the areas of scheduling, registration, wait times, and to monitor and improve patient satisfaction scores. This position will collaborate with administrative/ clinical supervisors, division administrators and other site managers to build volume at the faculty practice site.The site manager is expected to communicate with all internal and external departments to ensure safe and efficient patient care.
Manage payroll functions, tracking vacation/sick days for all employees and performing all necessary human resource functions such as hiring, training, supervising, disciplinary actions and performance appraisals.
Ensure all staff members and facility are compliant with hospital/ departmental/ divisional policies and procedures as well as adhering to all HIPAA/ Joint Commission regulations.
The site manager will be the direct supervisor for all front end staff and medical secretaries.Ensuring adequate coverage in each clinical/administrative area on a daily basis, and escalate any issues as appropriately.
Additional operational responsibilities include oversight of all EMR (EPIC) requirements such as preload and registration, timely documentation by physicians, accurate data and health information entry by front end and medical secretary staff.
Requires Bachelorâ€™s degree or equivalent in education and experience, plus four years of related experience.
Working knowledge of Microsoft Office products, specifically Excel.
Must have a minimum 1 year of practice management and supervisory experience.
This position will need the ability to work under pressure, undertake multiple tasks as required, possess strong management/organizational skills, and ability to interact with all levels of staff.
