Overview The Administrative Coordinator reports directly to:
The Clinical Education Administrative Director
The Administrative Coordinator will work primarily with:
Associate Dean of Clinical Education
Assistant Dean of Clinical Education
Director of Distance Learning
Clinical Distinction Course Director
He/she is required to work independently and to have considerable initiative; demonstrates resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by University rules, Department policies and procedures.
Work involves planning, organizing, administrative duties and data-entry input including a wide range of related administrative duties; collaborates with other student coordinators on team on all-staff projects.
Primary contact for 3rd year registration
Primary Liaison with The Registrars office for the 3rd year
Secondary contact for scheduling and proctoring COMAT exams
Work closely with Year 3 Clerkship Coordinator on preparation for a new academic year; Assisting with onboarding second year students
Assisting 3rd year Clerkship Coordinator with processing rotations requests and tracking unassigned blocks
Maintaining students electronic folders
Interface with IT staff at TUCOM, Canvas, New Innovations and NBOME
Primary contact for Clinical Distinctions
Tracking/processing Clinical Distinction course work
Communication with students regarding Clinical Distinction requirements
Managing Clinical Distinction data
Providing Clinical Distinction Course Director with CD data reports
Clinical Distinction website support
Clinical Distinction Organization on CANVAS support
Primary contact for Distance Learning, COAR
Scheduling and communicating with faculty and students regarding E-conferences
Maintenance of E-conference calendar and record of attendance
Supporting E-conference room set-up and tear-down
Administrative assistance with development and dissemination of distance learning materials including videos, audio and written work
Tracking COAR sessions attendance
Other duties can be assigned if needed
Bachelors Degree preferred, minimum two years study at an accredited College/University or equivalent job expense at college setting
Previous experience in academic setting
Excellent communication and organizational skills with ability to establish rapport and work with administrative staff, hospital administrators and physicians.
Ability to work with Microsoft Office with working knowledge of Outlook, Excel and Microsoft word, PowerPoint
Knowledge of Canvas, Blackboard, New innovations
Must have excellent writing skills
Strong organizational skills
Ability to multi-task
Ability to interpret a variety of instructions
Ability to function with limited supervision and to prioritize and meet deadlines
