The Office of Medical Education at SUNY Downstate Health Sciences University is seeking a full-time Logistics Team Leader. The successful candidate will:
Oversee maintenance of curriculum database and ensure continuity of content and timely uploading all relevant course material.
Coordinate the collection and editing of program correspondence, manuals syllabi, and materials, as needed.
Perform quality assurance checks on all calendar entries for lectures and small groups in the pre-clinical years, troubleshoot to resolve any conflicts that may arise.
Oversee faculty development activities related to the pre-clinical years and track faculty participation.
Assist with the administrative management of programs, acting as a liaison between ELT, faculty, team members, and students.
Oversee maintenance, preparation, and room readiness for student activities required to comply with institutional and program requirements, summarizing and extracting data (i.e. attendance at required lectures, small group activities, laboratory sessions, TBL, PBL).
Address student questions and concerns.
Coordinate room, seating, and proctoring assignments for examinations and assessment processes. Recruit proctors and create proctoring assignments.
Maintain high levels of quality assurance including checking for schedule conflicts between 1st and 2nd year, ensuring all participating faculty are uploaded into the Leo LMS; email reminders for lectures.
Use information systems to provide schedules for students and lecturers; participate in the development process for the IPC Logistics team.
Liaise with facilities, room scheduling, and IT.
Attend Unit Director meetings and communicate information to Logistics Team as needed.
Other duties as assigned by the Chief of Staff.
Bachelor's Degree in Business Management, Public Administration or related field.
Exceptional organizational, written, and communication skills.
Precise attention to detail and accuracy; ability to manage multiple projects simultaneously.
Ability to work independently and proactively.
A minimum of 3 years of administrative experience in a medical school or academic setting.
Experience utilizing Excel, Outlook, PowerPoint, Leo LMS, and web-based applications.
Master's Degree in Business Management, Public Administration or related field. Experience working in a medical school, in post-graduate medical training, or similar environments.
Monday to Friday; 9am to 5pm
