Staff Assistant - Infectious Disease & Global Health - (21001393)
The Department of Infectious Disease and Global Health (IDGH) combines four important areas of expertise within Tufts Cummings School of Veterinary Medicine. These are public/population health, international medicine, wildlife and conservation medicine and infectious disease research. The alignment of these areas promotes cross-disciplinary strengths that are important in achieving the department's goal of improving human, animal and ecosystem health locally, nationally and internationally.
Under limited supervision, the Staff Assistant will provide support to the Department Chair, Department Manager, faculty, staff and students with the diverse daily department operations. S/he will provide general guidance and explanation of departmental policies and procedures, may communicate on behalf of manager(s)/department chairperson, and serve as a source of problem solving for faculty, staff and other constituents. S/he will assist with accounting, procurement, telephone communications and other office duties. The Staff Assistant will also provide other administrative support, including coordinating meetings and travel arrangements, as well as producing, proofreading and editing complex documents and spreadsheets. Monitors and tracks expenditures, resolves problems and reports on specific department expenditures. S/he will coordinate planning and logistics for meetings and special events, including tracking responses and working with speakers on materials and set up. The Staff Assistant will also assist faculty and program coordinators with DVM and Masters program teaching related needs. The position requires excellent organizational and record keeping skills, good verbal and written communication skills, attention to detail, strong knowledge of spreadsheet software, word processing, and use of the internet, and have the ability to learn teaching support software and systems. The Staff Assistant must be able to prioritize work while meeting demanding deadlines with frequent interruptions. The ability to handle complex and confidential information and serving in a highly visible capacity as a resource for faculty, staff, and students is essential.
Requires a high school diploma/GED and 2-4 years of administrative experience or college degree with 1-3 years' experience. Proficiency in Microsoft Office suite, including word processing, editing, graphics, spreadsheet and database knowledge. Ability to learn additional software applications as needed. Bookkeeping or basic accounting knowledge.
Strong organizational and interpersonal skills and ability to multi-task
Valid US driver's license
Ability to lift up to 30 lbs. with or without accommodation
