The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation. 

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY

The Associate Director for Evaluations, Processing and Operations (EPA) provides leadership and direction to the units responsible for application evaluation for admission and transfer credit to the University, processing of student records, and articulation. The Associate Director establishes operational policies and procedures, ensures policy compliance and security of student data and records; manages human and budget resources; and recommends actions to the Director regarding short and long range planning and serves on systemwide and campus committees.

The Associate Director assesses workflow, design and implement strategic operations plans to ensure priorities, deadlines and goals are met, with a focus on increasing efficiencies through technological solutions. They recommend changes to operations; developing or updating policies, business processes and training documentation to ensure business continuity. The AD is responsible for leading EPA units in maximizing human and financial resources to achieve system-wide and campus enrollment goals. 

The Associate Director has overall responsibility for working cooperatively with the academic senate,  administrative and academic units across campus (faculty, deans, directors, staff) as well as high school and community college officials and prospective students and their families - in support of the university's academic mission/programs;  is the central communication source in the office for admissions policy; serves as the primary department contact for the colleges, deans and faculty relative to applicant data and records. 

The Associate Director must articulate a vision for their units, communicate clear expectations and mentor a team of six direct reports. In the absence of the Director, the Associate Director will act for the Director in campus and systemwide meetings on matters that fall within their purview. A member of the executive leadership team, the AD will work collaboratively with colleagues to strengthen infrastructure, take a digital first approach, and ensure proper alignment of resources to achieve campus enrollment goals. • To achieve these goals, Undergraduate Admissions must provide excellent information and services to prospective students, families, counselors and the UCSC community

JOB DUTIES

40% - Administration & Management

• Responsibilities include leadership, managing organizational change and development, personnel management, short and long range strategic planning, integration of technology/computer systems into business processes and public relations.
• Directs the day-to-today operations through the supervisors of the units for articulation, evaluation, and processing.
• Responsible for setting priorities and allocating resources to meet operational needs, assessing risks/benefits and identifying process improvements.
• Provides direction for coordination of workload in a dynamic office environment, sets guidelines for work performance, ensures business processes are clearly documented and staff are well trained.
• Develop and implement operational policies for all functional areas related to the admission of undergraduate students.
• Responsible for seeking input from customer groups to evaluate services and responding with appropriate service enhancements or improvements.
• Provides policy interpretation and procedural implementation for campus constituencies. 

20% - Systems Development & Project Management

• Provides leadership during a period of significant IT growth, especially on projects related to processing and evaluating student records for admission. Recommend changes to data architecture, custom modifications, and core technologies to meet the needs of end users  (students, Admissions and campus staff).
• Identify opportunities to increase efficiencies via automation where possible; remain abreast of research, products and systems changes.
• Participate in the planning and oversight of projects impacting the Student Information System (SIS); maintenance of custom software and database management systems.
• Work with administration, faculty, and staff to assess and respond to campus data needs.
• Participate in the creation and maintenance of a Technology Strategic Plan on an annual basis ensuring its coherence with Undergraduate Admissions strategic plan(s).
• Serve on campus and system-wide planning and policy-making committees.

15% - Resource Management

• With the Director and Business Officer, administer resources and budgets.
• Prepare budget projections based on anticipated workload determined by analysis of functions, predicted increases in application numbers, and timeframes.
• Work with unit managers to assess needs and predict, monitor, explain, report and control expenditures.
• Determine priorities for acquisition of new equipment, PCs and related purchases, as well as for minor capital improvements.
• Assess the return on investment (ROI) of new strategies and initiatives. 

15% - Analysis & Planning

• Anticipate workload and apply solutions via careful analysis of application numbers, statistical reports, and staffing. Develop, analyze and monitor reports from various data sources (UC Review, Slate, InfoView, etc.) for use in planning and management.
• Provide analytical reports for the Director to support admission selection decisions, staffing needs, and budget requirements.
• Analyze issues and/or potential problems and future needs in areas of functional and fiscal responsibility, setting policy and directing solutions.
• Plan and coordinate the implementation of strategies to minimize problems and address emerging needs.
• Analyze organizational structure, workflow requirements and develop internal policies and procedures for functional areas.

 10% - Liaising

• Represent Undergraduate Admissions on UCOP committees relating to admissions policies and procedures, planning, staff development or student services in general.
• Serve on systemwide and campus committees (e.g., Application Revision, Systems Workgroup, Senior Evaluators, etc.).
• Represents Admissions and the director at meetings, receptions, and recruitment activities on and off campus (e.g., UC Counselor Conferences and new student receptions).
• Advance the office's commitment to diversity and equal opportunity. 

 

REQUIRED QUALIFICATIONS

• Bachelor's degree.
• Demonstrated ability to exercise excellent judgment and discretion, particularly in matters relative to sensitive or confidential student records, personnel or organizational matters.
• Solid knowledge of fiscal management and University personnel management policies and practices, including risk assessment. Demonstrated ability to train, monitor, evaluate, and document performance issues. 
• Significant knowledge of the goals and mission of the University as they relate to academic preparation, recruitment, admission, general education, and transfer policies. 
• Demonstrated experience in effectively supervising the work of others with the ability to organize and set priorities that accurately reflect department goals and objectives. This requires effective and timely recruitment, hiring, and training of a diverse team of exceptional staff. 
• Excellent oral and written communication skills, including skills in public speaking, negotiation, and conflict resolution. Strong experience developing policies/procedures, reports and presentations including interpersonal skills for effective collaboration.  
• Proven ability to manage large-scale projects over an extended period and work efficiently in a fast-paced environment. Demonstrated ability to work independently and follow through on assignments with minimal direction. 
• Demonstrated ability to understand and interpret complex documents and data specifications, using critical thinking skills to analyze problems and develop effective solutions. 
• Proven ability to work cooperatively and sensitively with individuals from diverse cultures, ethnic groups, lifestyles, and backgrounds. Demonstrated awareness of cross-cultural and intercultural distinctions that affect interactions with a diverse population.  
• Experience in the design and implementation of modern admissions/enrollment management programs including organizational development strategies and practices.
• Thorough knowledge of university or college admissions practices and procedures, including understanding of evaluation of high school and college/university academic records and of U.S. and international educational systems.  
• Solid university or college admissions experience with significant knowledge of transfer credit policies and related outreach and admission practices. 

 

PREFERRED QUALIFICATIONS

• Masters degree in related areas.
• Strong knowledge of common University-specific computer application programs including Oracle/PeopleSoft Campus Solutions, CRM, Microsoft Word, Excel, and other business software.
• Thorough knowledge of UC admissions practices and procedures, including understanding of evaluation of high school and college/university academic records and of U.S. and international educational systems.  
• Solid UC admissions experience with significant knowledge of transfer credit policies, a-g course lists and related university outreach and admission practices. 

 

SPECIAL CONDITIONS OF EMPLOYMENT
